I. PURPOSE AND BACKGROUND
Requirements of consultancy
Within the framework of the Project, funded by the Government of Japan, the Project Assistant will ensure the effective and efficient execution of the project by providing project implementation and office administration support as detailed in the duties and responsibilities below .
Contract up to December 2019 with possibility of extension depending availability of funding and performance
The Project Assistant will be based in Iligan City, with travel to project offices, as necessary.
III. DUTIES AND RESPONSIBILITIES:
Under the overall supervision of the Project Manager, the Project Assistant shall be responsible for the following:
1. Office Administration
day-to-day administrative work related to the smooth running of the Iligan and
Marawi Project Offices including oversight of office supplies,
communications/equipment/IT systems etc.;
- Supports and coordinates all the administration and logistics related to staff travel such as lodging, transportation etc.;
- Assists staff in preparing travel requests and security clearances and ensures travel claims are properly filed and original documents kept on file;
- Liaises with UNDP and other UN agencies, when appropriate, to ensure that implementation of administrative systems are consistent with UN wide rules and regulations (SSAFE, UN Training, etc.);
- Prepares requisitions for procurement of goods and services in accordance with the approved work plan and submits them to the project manager for approval and country office for processing in a timely manner;
- Ensures that all equipment are in good working condition;
- Develops and maintain office filing system;
- Provides Secretariat support to the Project Steering Committee;
- Performs other functions and duties as required.
2. Project Implementation Support

- Assists in packaging the training proposal and review its completeness before forwarding to the Project Manager for approval;
- Assists the Capacity Development and Partnership Officer in purchasing materials for the training;
- Ensures logistics are properly undertaken pertaining to the organization and conduct of workshops, seminars, events and other activities;
- Assists the Capacity Development and Partnership Officer in liquidating training cash advances;
- Performs any other tasks assigned by the Project Manager and/or the Country Programme Manager
The salary will be determined according to the qualifications, skills and relevant experience of the selected candidate.
